FAQ, Guidelines & Rules


  • ⛔ Do not:

    • Do not send in reservations during Friday and Saturday if the reservation is for the upcoming Monday or Tuesday. There is not enough time to process these requests. Thank you for understanding.
    • Request equipment for more than 7 days.
    • Please do not send in more than one reservation for each week/student.

    🛑 Account restrictions:

    • If you are no longer a student or staff your account will be removed.
    • Do not request an account if you do not have an active student or staff contract with UBB. You need to be in the UBB database and have an institutional e-mail address.
    • Not following guidelines and rules can lead to account removal and interdiction.

    ⚠️ Item restrictions:

    • Some items have a specific year, semester or specialization you should be in to request. Please take notice of such mentions on the product page.
    • If you are not qualified to use an item please do not request it.
    • This restrictions do not apply if the item is used under the surveillance of a professor during a workshop or class hours.

  • ⌚ Select pick-up and return date with time.

    • The timeframe for pick-up and return has been decided on by the directors. Equipment drop-off and pick-up is described in the next 2 points.
    • Monday: 12-16
    • Tuesday-Friday: 10-12 and 14-16

    🔎 Search for equipment that is available.

    • The site shows equipment that is available for the selected rental period.
    • Do not forget to include everything you need (batteries, chargers, etc).
    • Make complete requests, take everything you need on a single request for small projects or individual tasks.
    • For bigger projects break them up into departments and assign a person to each of them and ask them to send in the request for their department.
    • Please take note of any observations on the product page, respect recommendations and only request equipment that you have access to (decided by specialization and year).

    🛒  Checkout.

    • Complete carefully the information asked.
    • Make sure that all the information you entered is correct, use institutional emails and write them completely. Example: name.[email protected]
    • Do not put spaces or other characters before and after the email.
    • Special Conditions, Team Members and Notes for the request are optional.
    • For bigger projects that have requests by department: Write the same project description and title for all the requests. In the field "Notes for this request" write the department that you are responsible for.
    • Request everything you need in time (min. 48 hours before). The system will not let you to checkout if this requirement is not met!
    • Create an account at checkout, from the bottom of  this page or if you have one sign in.
    • Requests cannot be modified by the user after they have been sent.
    • For any modifications you need to contact your coordinator and technician.

    🙋🏻‍♀️ Show up at the chosen time.

    • Pick-up and return is done at the following address: UBB Studios at Central Shopping Center: 4th floor, Street Regele Ferdinand 22-26, Cluj-Napoca 400110.
    • The person that makes the request should always show up in person when the equipment is picked up or returned.
    • As with any equipment rental, you are responsible for thoroughly checking all equipment before you leave, ensuring that it is not only in proper working order, but also that you are fully knowledgeable about operating it.
    • Verify that the equipment is complete and corresponds to those requested. If needed check with the technician.
    • You can't request any additional equipment at this point. Please make sure that you have everything you need on the request beforehand.

    📥 Bring back the equipment in time.

    • Make sure it is clean, charged and in good condition. The person that requests the equipment is responsible for it.
    • For any damages or issues contact the technicians immediately by email and describe the incident exactly ([email protected] & [email protected]).
    • No other person should use the equipment requested by you without your consent and supervise. You are responsible for any damages. If a staff member of the faculty is present where you film, make sure that you coordinate with them and that they know how you are using the equipment.
    • You should not rent, lend or let the equipment you requested to be used by any person outside the faculty. If caught you can be expelled.
    • If possible verify the integrity of the equipment used with a technician.
    • All equipment must be returned together. We will not accept partial equipment returns. If various members of your group have different pieces of equipment, it is your responsibility to coordinate with them to ensure that all of the equipment is brought back at the same time.

    • After you make a request the information is stored as a reservation on our Booqable account.
    • An email will be generated containing the necessary information.
    • This email is sent to you and to an automated system made with Power Automate.
    • Note: Power Automate is running on the following account: [email protected]. All mails received by the coordinator and their responses will be seen as coming from this email address.
    • The system will use the information provided by you to notify your coordinator.
    • The coordinator decides to accept or reject your request.
    • The system forwards the response and your request to the technicians.
    • A copy of the request containing the coordinator response is sent to your email address.
    • If any further communication is needed everyone involved should use the reply to all function on the mail received. This ensures that information does not get mixed up and everyone sees the request and messages in one place.
    • For any missing information, mistakes or suggestion present on this site contact our system administrator by email.

  • Only use institutional emails to register. These are accompanied by @ubbcluj.ro or @stud.ubbcluj.ro terminations. Please do not register if you are not a student or staff member of Faculty of Theatre and Film. No more than one account for every user. Please do not spam requests and make sure that you are well organized and request only what you need, when you need it. Make sure that you requested everything you need to avoid the necessity of changing your request. All the data being used is stored on Booqable servers, Microsoft servers and subject to UBB policies as well as Booqable and Microsoft.

    • Read Terms and Agreements and accept them

    • Check your institutional email and verify your account
